Thinking about switching your FMS?
You have the right to switch at any time, and there are two very different ways to do it. Switching at the start of your plan year is far easier. Switching mid-year can be done, but it takes careful planning. Either way you start fresh: every employee and every vendor re-enrolls with the new FMS, and the whole process can take up to three months.
Switching mid-year? Know the trap.
You'll need a clear cutoff date. Vendors are the easy part: they can bill in arrears for work already done. Employees are trickier: don't let anyone start working until the new FMS confirms their onboarding is complete, because hours worked before then can't be paid from your budget.
If you truly need to switch mid-year: plan the transition with both FMSs together, set the cutoff in writing, and add an extra month no matter what they say they can do.
